Enrollment Procedures at UPOU: A Guide for Newly Admitted and Continuing Students
Generally, enrollment at UPOU is conducted through the Online Registration System (ORS),
which can be accessed via the Student Portal. The enrollment period typically lasts for one (1)
week, and the enrollment schedules for both trimestral and semestral programs are reflected in
the official Academic Calendar.
Manual enrollment is not part of the regular enrollment process and is strongly discouraged. It
is only considered in highly exceptional cases, such as when the ORS is no longer accessible or
when the prescribed enrollment period has already lapsed.
Requests for late or manual enrollment are subject to strict evaluation and must be formally
submitted with a clear and valid justification, along with complete supporting documents.
These requests undergo multiple levels of review and approval, and submission does not
guarantee acceptance. Approval is granted solely based on the validity and merit of the reason
provided, as well as strict compliance with university policies and requirements.
🖥️ A. Enrollment via ORS (Within Prescribed Enrollment Period)
Access and Preparation:
- Ensure that you are eligible to enroll by confirming that you have received an official admission notice from the Admission Section.
- Click “Request for Password” in the  Student Portal and use the student number assigned during admissions as username (e.g. 2000-xxxxx)
- Retrieve the system-generated password through your official email address.
- Ensure you are aware of the Registration Period, as access to the Online Registration System (ORS) begins on the first day of the enrollment period.
- Review the Course Offerings for the term. You should also check whether your program follows a semestral or trimestral enrollment schedule by referring to the official enrollment schedule.
- Seek academic advising before enrollment if you are unsure which courses to take. For assistance, you may email the following. If you are unsure which Faculty of Study (FOS) you belong to, please refer to this LINK.

Enrollment Steps:
- Log in to the  Student Portal and update your information. Once completed, click the Save/Submit button to access the ORS.
2. Select term and courses (based on approved curriculum)
⚠️ Note: If you incorrectly select courses and wish to reset your ORS account, please email [email protected] for assistance.
3. For undergraduate students only (AA, AADDA, ASIT, ASIDT, AADE, BES, and BAMS), if you enroll below the regular load, the system will display an “underload” prompt; therefore, you need to submit an online application for underload through the Student Portal. Please note that there is a deadline for the submission of the underload application.
4. For all programs -If the courses you intend to enroll in exceed the regular number of units, you need to apply for online application for overload through the Student Portal. Please note that there is a deadline for the submission of the overload application.
⚠️ Note: The system will not allow you to proceed with enrollment until the result of your overload or underload application is released. Once available, proceed to Step 5. However, if you enroll based on the regular load and update your ORS account accordingly, you may continue your enrollment without waiting for the result of your application. - Review auto-generated assessment of fees
- Pay registration fees through  various mode of payment.
- Â Upload proof of payment
- Wait for enrollment confirmation. This is automatically granted to students who pay through the online payment method or have a “0” tuition fee due to a scholarship. Otherwise, please wait for the Registration Section to confirm your enrollment. Ensure that the amount you paid matches the assessed fees to avoid delays in confirmation.
- Check your enrollment status via the Student Portal and ensure that your enrolled courses are correctly reflected.

10. Once you are enrolled, your MyPortal access credentials will be sent to your official email address by the ICTDO Technical Support team. After receiving your credentials, you may log in to your MyPortal account to access the course sites for all the courses you are currently enrolled in. If your course sites remain inaccessible after some time, please contact MyPortal support at [email protected] for assistance. Please ensure that you already have access to your MyPortal account on or before the start of classes.
📌 Note: Changes made in the AIMS Student Portal are not immediately reflected in MyPortal, as the ICTDO must first update the system.
Moreover, the AIMS Student Portal is used for managing enrollment, submitting online applications, updating personal information, and viewing completed courses, including final grades and earned units.
On the other hand, MyPortal serves as the learning platform where you can access your current course sites, view your class schedule, communicate with classmates and faculty members, and submit assignments.
Reminders:
- Enrollment must be completed with full payment within the prescribed period.
- For students eligible for free tuition and other scholarships, your assessed fees should appear as “0.” However, if the system still prompts you to pay, please email [email protected] for assistance.
- Enroll only in courses included in your approved Program of Study. Courses outside your plan require prior approval from your Program Chair; otherwise, they may not be credited or you may be asked to withdraw.
- Once officially enrolled, if you wish to add or cancel courses, you must submit an online application for change of matriculation  through the Student Portal. If this will result in an overload or underload, make sure you have an approved application for the appropriate load adjustment. Please note that there is a deadline for the submission of the request for a change of matriculation. The timeline is given below:

Eligibility Requirements:

- This may include special cases, as the approval timeline of the application is beyond the student’s control (e.g., pending scholarship applications, student loan applications, overload/underload requests, etc.).
Requirements:
Proof of payment (for paying students)
- Accomplished FORM 5 (with courses based on approved curriculum)
- Approved TFE/Reduced Fee (if applicable)
- Approved online application for overload (if exceeding units)
- Approved online application for underload (for undergraduate programs, if below regular load)
Steps:

- Wait for the email acknowledgment confirming receipt of your request for manual enrollment, along with your fee assessment (for paying students).
- Pay fees through  various mode of payment and email proof of payment to [email protected]
- Wait for enrollment confirmation
- Check your enrollment status via the Student Portal and ensure that your enrolled courses are correctly reflected. If there are any discrepancies, please email [email protected]
- Contact MyPortal if you need assistance with course site accessibility.

- Students under provisional status for more than one year will be blocked from accessing the Online Registration System (ORS). This status applies to those who have not yet submitted a valid and original Transcript of Records (TOR) . If you have already complied with this requirement but your status is still provisional, please email [email protected]
- Review Course Offerings for the term
- Be aware of the Registration Period , as ORS access starts on its first day.
